NC K-pop Hive — Project / Initiative
Events and Collaborations
Introduction:These Terms and Conditions govern participation in events and collaborations organized by NC K-pop Hive. By participating, you agree to comply with these terms.
Registration and Application Process
Participation Requirements:
Eligibility: Participation is open to all businesses, vendors, projects and individuals that meet the following criteria:
Based (or operates) in North Carolina, United States (exceptions may apply*)
Open to all shops/vendors. Preference given to shops/vendors with a focus on K-pop, Korean culture, or related products/services.
Must be willing to engage in K-pop-related events, promotions, and collaborations.
Must be an active business or vendor, operational for a minimum of 6 months.
Agree to promote NC K-pop Hive events and collaborations through their own channels, such as social media or newsletters.
Must adhere to professional standards and demonstrate a commitment to quality and community while participating in the NC K-pop Hive social platforms and events.
*Participants based in South Carolina, Tennessee, Virginia and Georgia may be including in Marketing and Promotions but will not be included in the North Carolina K-pop Partnership Initiative. Preference for K-pop shops and event planners.
Registration: Participants must complete the application form and be approved by NC K-pop Hive to participate.
Responsibilities:
Participants: Must act professionally and adhere to all event guidelines and deadlines.
Collaboration: Ensure clear communication and fulfillment of agreed-upon responsibilities.
Promotion and Marketing:
Usage of Content: Participants grant NC K-pop hive permission to use their logos, images, and other promotional materials for event marketing.
Platforms: Promotion may occur on platforms including social media, website, in-person promotions through events, and newsletters.
Event Conduct:
Behavior: Participants are expected to exhibit professional conduct during events. Inappropriate behavior may result in termination of participation.
Dress Code: Please wear clothes :)
Collaboration Guidelines:
Details on how collaborations will be managed and any specific procedures.
Information on how disputes or conflicts will be handled.
Intellectual Property:
Ownership: Content created for or during events remains the intellectual property of the creator, but NC K-pop Hive retains the right to use it for promotional purposes.
Usage: Participants may use* logos and branding of NC K-pop Hive when promoting events and business information. Preference that permission is obtained before using any intellectual property of NC K-pop Hive in any other way.*May NOT contain any alterations to color, character, or composition when used. Greyscale for the purpose of printing is acceptable. Please share with us any content and materials created that feature our logo or branding.
Liability and Insurance:
Limitation of Liability: NC K-pop Hive is not liable for any damages or losses incurred by participants.
Insurance: Participants are responsible for their own insurance coverage as needed.
Confidentiality:
General Confidentiality: Participants agree to keep all planning, event, and collaboration details confidential.
Early Access Confidentiality: Information shared early with the NC K-pop Hive and Early Bird Exclusive group will attempt to remain confidential until publicly released. We understand risk is involved in sharing things early, so businesses are not required to participate in the Early Bird groups and forums. Share at your own discretion.
Disclosure Restrictions: Confidential information must not be disclosed without prior written consent. Early Bird Exclusive members must agree via form and discussion.
Duration: Confidentiality obligations continue throughout participation and for [one year] post-event.
Breach Consequences: Breach of confidentiality by Early Bird Members or Businesses may result in the termination of collaboration/partnership and removal of roles and permissions on online platforms.
Termination and Withdrawal:
Conditions: Either party may terminate participation with private (Email or Direct Message) and/or written notice if terms are not met.
Process: Notify NC K-pop Hive privately (Email or Direct Message) and/or in writing to withdraw from participation.
Legal Compliance:
Adherence: Participants must comply with all applicable laws and regulations, including non-discrimination policies. This is most relevant in the NC K-pop Hive's online platforms, events, and collaborations.
Dispute Resolution:
Procedures: Disputes should be resolved through mediation. If unresolved, arbitration (a private, binding process outside of court involving a neutral third party) may be considered.Termination of collaborations and partnerships, a ban from online platforms, and archival of promotions for all involved parties may also be considered.As a last resort:
NC K-pop Hive may disband and terminate aspects of its initiative, including but not limited to the collaboration program, in-person events, online events, and all active social media platforms.
Amendments:
Changes: NC K-pop Hive may amend these terms. Participants may propose and vote for reasonable changes. Participants will be notified of any changes.

We host regular events and challenges to inspire and engage our community.★ Enhance Accessibility: We are dedicated to making the K-pop community, events, and outreach more accessible to everyone. This includes creating inclusive environments, promoting events so more people can access the information on time, providing necessary accommodations, and ensuring that we have events and activities that are open and welcoming to all fans, regardless of their background or abilities.

HOW TO APPLY / BE INCLUDED
To be included in the NC Kpop Hive directory,
applicants must meet the following eligibility criteria:
Eligibility:
Type of Entity
Must be one of the following:
Business
Brand
Artist
Vendor
Event Coordinator/Organizer
Team / Crew
We also welcome other social accounts and hives/hubs (related to K-pop).Preference is given to official businesses and vendors (we'll provide info on locations and website links). Others may still be included in some aspects (will be mentioned, but locations and links might not be included).
Online Presence:
Must have at least one (1) of the following:
An active social media account (preference for Instagram)
A working/completed website
A Google/Business Profile
A Linktree (or related site) with 2 or more functional links
How to Apply:
If you meet the above criteria and wish to be included in our directory, please send us a message on Instagram or Discord. Or fill out the Collab Staff application form!
Community Recommendations:
We may also include well-known shops and eating places based on community recommendations. These listings will be clearly indicated, and we will follow up with these businesses to get their consent and confirm their details.We look forward to highlighting the amazing K-pop community in North Carolina and helping fans connect with you!
